Sphaira frameworks designed to cater the important functions to highly consider of privacy, security, audit, contingency, monitoring, and performance.
√ Scalable - Hardware: the capability of the system to manage the growing amount of users or transactions and it can refer to capability of a system to increase its total output under an increase load when the hardware resources are added.
√ Scalable - SOPs: the number of human resources in hospital co-related with the hospital class and the system provide the flexibility to adopt procedural and simplified process.
√ Authentication and Authorization: authentication verifies the user rights to login into the system and authorization verifies what users are authorized to access the menus with some conditions called CRUDPA – Create, Read, Update, Delete, Print and Archive. To protect from unauthorized user(s) enter into the system, periodically, system will warn the users to change their password to prevent identity and data theft.
√ All the user activities will be recorded into Audit Logs according with HIPAA requirements.
√ User Termination: user termination due to resignation or other reasons should be reported and terminated from the system according with HIPAA requirements.
√ Notification: push notification to the physician when the CPOEs results came out and physician can direct to review it without change the menu. Not limited to order results, if any referral from colleague will trigger the push notification too for the physician to review the patient condition.
√ Transaction History: all transactions given to the patients will be stored within the transaction history that includes the INVENTORY data movement and accounting JOURNAL generated. This will allow management to trace from transaction into accounting.
√ Record Lock: in order to prevent data tampering, user that are not eligible anymore to modify the specific record that are protected, the system will trigger a warning notifying and release it to another user.
√ International Compliances: system complies with international standards such as WHO, CDC, FDI, HL7, CMS, MIMS, NNN, IDAI*, DTD* and follow the requirements from JCI, HIPAA, HIMSS, ISO.
√ Content Management System: enable the hospital to manage their own content for clinical documentation used by physicians and nurses.
√ Dynamic Validation: since the competencies and human resources in hospitals varies, dynamic validation is added specifically into the system to validate data input WITHOUT any customization needed.
√ Advance Search Engine: system accommodates some intelligent search capabilities to the users to give quick results.
√ Quick Jump Menus: the users can quickly switch to other menus as they have the authorization to access it.
√ Favorite Menus: this function applies only for physician and nurse to re-arrange their own menus, limited to 15 menus.
√ Most Frequent: to help the physicians easy to select the orders, system provides the most frequent list. The most frequent list can be defined at level of hospital or specialist or physician itself.
√ Template: to help the physicians easy to select the orders, system provides the template. Templates are applied to chief complaint, CPOE for medication according to the problem whether patent drugs or compound drugs, and laboratory form follows the paper-based format and imaging/radiology forms.
√ Data Management: provides the capability to extract, write, and convert the data into another form such as WORDS, EXCEL, and PDF.
√ Track and Navigate Error Management: provides the capability to detect the error or potential error due to bug system or misuse of system.
√ Advance Reporting Management: reports are created at the beginning and the end of the month and it will cause the user performance to drop, even halting their progress. To eliminate this flaw, the system load can placed into another server and be scheduled to create reports and sent to respective users through email.
√ Query to Excel: we understand the predefine reports are structured and limited to paper size and unable to fully supports the needs of organization. Query to Excel is new developed function to let the Hospital's IT team to retrieve and transfer data into excel spreadsheet for further process.
√ Clinical Reports Archive: since medical record treat as confidential information and any reports produced, system will automatically log the users and archive those reports into the system.
√ Crisis Workstation: refer to requirement from HIPAA disaster / contingency plans, the hospital will still able to access and pull out the data.
